Providers Module

Provider Selection Dropdown :
The dropdown in the top-right corner shows a list of all active providers along with their provider IDs.
- Providers mapped to any reason for visit cannot be deselected.
- If attempted, a notification appears: “Provider mapped with reason for visit“.
Checked providers can be mapped to any reason for visit. Unchecked providers cannot be mapped to any reason for visit. Providers can be unmapped from reason for visit settings.
Provider List :
The table displays details of all providers, including display name, provider ID, provider role, and operatories.
Edit Provider Details (General) :

The Edit Provider section offers an update feature for the provider’s profile, allowing you to assign koperatories, upload or update photos, add a bio, and specify gender.
Provider image:

The display name is the provider’s name, which will be displayed on the patient form.
Operatories:
Operatories drop down shows a list of operatories.

Operatories can be unchecked only if they are not mapped to any reason for visit. If an operatory is mapped, attempting to uncheck it triggers a notification: “Operatory mapped with reason for visit“.
Operatories can be unmapped from the Reason for Visit settings.
Role:
Provider’s role can be selected in this section.
Edit Provider Details (Advanced) :
The Advanced tab feature manages provider’s availability.

Availability :
This section offers a list of days, from Sunday to Saturday, with an On/Off toggle to set the availability of providers.
- If switched off, the provider is unavailable for that day.
- If switched on, the provider is available for that day, and the Blocked Out Times dropdown allows users to specify unavailable time slots. This serves as an additional filter alongside the schedules from the PMS.
Reason For Visit Module

This section displays a list of all reasons for visit, including the reason name, mapped providers, operatories, patient type(new/returning), duration, and more.
Add :
This feature enables the Add Reason for visit section.
Add Reason for visit :
This section provides the option to add a new reason for visit.
Reason Name :
The reason name field is used to enter the name for new reasons for visit.
Providers :
Multiple available providers can be mapped and unmapped to a reason for visit in the Providers section.
If checked, the provider is mapped to the reason for visit.
Who can book? :
To define whether the reason for visit will be available for new patients or returning patients.
Duration :
To define the procedure duration time.
- The duration is required if the appointment type is not selected.
- If the appointment type is not selected, the duration section will override the duration of the appointment type.
- If both the duration and appointment type are filled, the duration section will take priority.
Appointment Type :
If the appointment type is selected and the reason for visit duration is not filled, the appointment type duration will be used as the reason duration.
Show Provider Options :
This feature is introduced for the patient’s convenience when booking an appointment.
If checked, mapped providers will appear on the patient’s form, and patients will manually select an available provider. If unchecked, patients will not need to manually select a provider to view the available time slots.
Active:
In the Active column, a toggle feature allows you to enable or disable the reason for visit. If this feature is turned off, the reason for visit will be temporarily deactivated.
Actions :
The Actions column includes Edit and Delete functionality.
Edit :
The Edit feature enables the Edit Reason for Visit section.
Edit Reason for Visit :
This section provides the option to edit all details related to the reason for visit, including the reason name, provider, operatories, patient’s eligible age for the procedure, appointment type, and description. All previously entered information will be pre-populated for easy modification.
Delete :
This feature permanently deletes a reason for visit.

Appearance
General :
This section is for adding and editing information displayed on the patient form.
Practice Logo :
Specific logo for the practice can be added in the Practice Logo section.
Practice Name :
The specific name of the practice can be added or edited in this section.
Practice Phone :
The practice’s contact number can be added or edited in this section.
Display Address :
The address of the practice can be added or edited in this section.
Practice Details :
Additional details about the practice can be added or edited in this section.
Theme :
This section is for customizing the visual appearance and style of the patient form. By personalizing the style, each practice can preserve its distinct identity.
Brand Color :
This feature is to customize the style of the Branding section on the practice form.
Button Primary and Button Secondary :
This feature is to customize different button colors on the practice form.
To visualize how the added data and style will appear on the patient form, a preview feature is implemented on the right side of the page.
The toggle button is used to specify the exact mobile and laptop views of the patient form.

Default link :
The default link patients use to access the patient form.
Use Custom Link :
A customized link can be created for patients to access the patient form, replacing the default link.
Show default confirmation page :
If this feature is enabled, the confirmation page will appear without redirecting or navigating elsewhere.
Redirect to custom link :
If enabled, the page will redirect after the confirmation page.
- Link is the custom URL to which the patient will be redirected.
- A delay of 0 to 20 seconds can be set before the redirection.

Confirmation
Confirm Status (es) :
This feature enables the selection of specific appointment statuses to be marked as confirmed, but only if the PMS appointment status is set to “scheduled”.
Confirmation Text :
This feature decides whether to send the patient appointment reminder text or not.
Confirmation Text :

If “Don’t send confirm prompt” is enabled, patients will not receive a reminder text before their scheduled appointment.
If “Send confirm prompt” is enabled, specify how many hours before the appointment patients will receive a reminder text.
Confirmed In All in One Dental :
After receiving the appointment reminder text, patients must choose an option indicating whether they are coming or not. If the patient agrees, the status will update to the selected option from the dropdown.
Cancelled In All in One Dental :
After receiving the appointment reminder text, patients must choose an option indicating whether they are coming or not. If the patient does not agree, the status will update to reflect their choice.

Others
Accepting Patients :
This feature enables/disables the form.
If turned off, patients won’t be able to book appointments. Instead they see the message, “This practice isn’t currently accepting patients”. All form settings including form url are retained.
This setting is ideal when a practice wants to temporarily stop accepting online bookings without altering schedules.
Verify patient’s email or phone number :
If turned on, patients will be asked to verify either their phone or email through OTP before booking the appointment. Using this feature is encouraged but not mandatory.
Ask patient for their insurance info :
Patients will be asked to enter their insurance details. You can customize the list of insurance that appears to your patients. See Link. The details entered by patients are added to the patient notes.
Enable Block scheduling :
Block scheduling feature offers practices more granular control over when and where they want to take specific appointments.
If this feature is turned on, the block type option will be enabled in reason for visit settings.
- The block type dropdown features a list of all blockout definitions from your pms along with an extra option(Open Schedules).
- You can choose one or multiple blockouts from here.
- Patients will only see appointment slots available within these specified blockout times.
- If the open schedule option is enabled, we will also show slots that aren’t reserved for any other blockouts. (Choose this if you want a hybrid approach of block scheduling and general scheduling).
If this feature is turned off, the block type option will be disabled in reason for visit settings. We will show slots available through provider schedules.
Blockouts to remove :
This setting is enabled only when block scheduling is turned off.
You can choose between blocking all blockouts or just non-scheduling blockouts (Blockouts with Block appointment Scheduling enabled in Open Dental). By default we will only remove non-scheduling blockouts.
Sync schedule :
This feature syncs the schedules from the PMS.
Sync others :
This feature syncs operatories, providers, confirmation definitions, and appointment types.
You must wait for one syncing process to complete before using the other.

Search :
This feature enables searching appointments by the patient’s name.
Filter :
The filter feature provides various searching methods.
Date Scheduled filter :
This filter enables searching appointments within a specified date range based on when the appointment was scheduled.
Appt Time filter :
Enables searching appointments within a specific date range based on the appointment time.
